GENERAL TERMS & CONDITIONS
Dear patient,
These general terms and conditions are established to ensure our collaboration runs smoothly and clearly.
They provide clarity for both you and our practice, allowing us to focus completely on your treatment.

By making an appointment, you agree to these terms.​​​

1. Appointments & Cancellations
​
We work by appointment and do our best to schedule sufficient time for everyone.
To make this possible, the following appointment rules apply:
Free Cancellation Window
You can cancel or reschedule your appointment free of charge up to 24 hours in advance.
Late Cancellation & No-Show Policy
For cancellations made within 24 hours of the appointment, for no-shows, or for late arrivals (>15 minutes), we are obliged to charge the full treatment fee (€75) for the reserved time.
Same-Day Illness Exception
(1x per year)
If you develop acute illness (fever, flu, contagious symptoms) on the day of your appointment, please call us at least 6 hours before your scheduled time. In this case, a reduced cancellation fee of 50% (€37.50) will apply. This exception is available once per calendar year per patient to accommodate unforeseen circumstances while respecting our time.
Loyal Patient Courtesy
(1x per year)
Patients with 12 or more treatments in the past 12 months receive one annual "courtesy cancellation," allowing a free cancellation within 24 hours, provided you notify us at least 6 hours in advance.
Health & Safety Protocol
If you show up to the clinic with flu-like symptoms, fever, or acute illness, treatment will be refused for the safety of everyone in the practice, and this will be considered a late cancellation with full charges applied.​

Application of Multiple Policies
If you qualify for multiple arrangements (for example as a regular customer and in case of illness), the most favourable policy will apply to you. Your regular customer benefit therefore takes precedence over the illness exception.

2. Payments
​

In-practice treatments (acupuncture, cupping, herbal treatment): payment can be made by card or cash after your treatment.

To schedule a new appointment, any outstanding invoice must be settled.

Online herbal treatments: The payment term is 14 days from the invoice date.

​3. Acupuncture Treatment Packages & Fair Value Guarantee
The Fair Value Guarantee as stated on our rates page applies to all packages: If you are not satisfied after 3 treatments, you may cancel the package and receive a refund for the unused portion. The first 3 treatments will be charged at our standard rates (€95 for initial intake and €75 for each subsequent treatment).
From the fourth treatment onward, the package becomes final and non-refundable. Packages are personal to the purchaser and may not be transferred to third parties.

4. Herbal Treatments
For your safety and optimal results, we follow a careful procedure:

A (follow-up) consultation is a mandatory part of every herbal order.

Mandatory Safety Monitoring: Herbal prescriptions are tailored to your specific health situation and progress. To ensure safety and efficacy, we limit prescriptions to a maximum of 4 weeks. This allows us to monitor your response, make necessary adjustments, and prevent the use of herbs that are no longer suitable.

Prepayment herbal orders: Partial prepayment is required for all herbal orders. Standard advances are typically €100-150 depending on prescription size; any difference from the final amount will be settled within a few days after the pharmacy confirms the exact delivery.

Custom herbs are non-returnable: All herbal formulas are specifically formulated for your unique symptom profile and ordered from the pharmacy. Once the pharmacy has prepared the prescription, you are 100% liable for the costs. Prepared herbs cannot be returned or credited for medical and hygienic reasons.

No Bulk Discounts: As a direct consequence of this essential medical safety protocol, requiring regular consultation and monitoring, we cannot offer discounts for bulk purchases or longer-term prescriptions. Your health and safety require our ongoing professional oversight.

5. Payment Reminders for Herbal Invoices
We assume invoices will be paid within the set term.

If a payment is unfortunately not received, the following procedure applies:
​
1. After the due date: A friendly payment reminder.
2. If payment is further delayed: A final notice stating that the claim will be transferred to a collection agency.
3. Ultimately, transfer to a collection agency. All resulting (legal) costs will be borne by the client. ​

Not receiving a reminder does not relieve the payment obligation.
​

6. Gift Vouchers
​

Gift vouchers are non-refundable after purchase. The purchase amount cannot be refunded, even in case of non-use or change of wishes.

The validity period is stated on the gift voucher. After this date has passed, the voucher expires and the value can no longer be refunded or extended.​

Gift vouchers are personal, but are transferable to third parties. The eventual user does not need to be the original purchaser.​

​When a gift voucher has been purchased for a specific treatment, no refund is possible in case of price changes. The voucher retains its original value as stated at the time of purchase.

7. Changes to the Terms
We reserve the right to amend these general terms and conditions. The most current version can always be found on our website. Changes apply to new treatment trajectories and new appointments from the amendment date. For ongoing treatment trajectories, the terms as originally agreed remain in effect, unless otherwise agreed in writing.
